SpotsPOS Repair

Let partner shops order from your shelf.

Share Inventory turns your stock into a supplier for other shops that run SpotsPOS. Invite a shop by its store ID, and once it accepts, it can send you purchase orders that you approve before anything leaves your shelf.

Built for shops that buy and sell parts with each other

  • Share by store ID

Tap Add Store and enter the other shop's store ID. Your invite shows Awaiting approval until they accept.

  • They accept or decline

Invites arrive on the other shop's Requests tab, with a badge counting the ones waiting, and they accept or decline each one.

  • Orders on a purchase order

Once they accept, your shop shows up as a vendor when they create a purchase order, like any supplier.

  • You approve every order

Orders land in your Incoming tab. Approve, lower a quantity to approve part of it, or decline.

  • A record on both sides

Items are logged as dispatched or received through the purchase order, so both shops can see what moved.

  • Revoke any time

Swipe a shop to revoke its access. A revoked shop can no longer order from your inventory, and you can invite it again later.

What shared inventory is for

Repair shops trade parts with each other all the time. One shop has three iPhone 15 screens on the shelf, another has a customer waiting for one. Usually that means a phone call, a drive across town and a note that never makes it into anyone's inventory.

Shared inventory puts that trade on a purchase order. The shop with the stock decides who can order from it, every order is approved by that shop, and the parts are recorded as they leave one shelf and arrive at the other. It works between your own locations and with partner shops outside your business, as long as both use SpotsPOS.

How sharing starts

Open Share Inventory and tap Add Store. Enter the store ID of the shop you want to share with, and the invite appears on your Sharing tab as Awaiting approval. The other shop sees it on its Requests tab and accepts or declines. Once they accept, the shop shows as Active on your list.

Your Sharing tab can be filtered to show accepted, pending or revoked shops, so you always know who has access. A pending invite or an active share can be revoked from the row's menu or with a swipe.

How a partner shop orders from you

When the partner shop creates a purchase order, your shop is on its list of vendors. They pick the parts and quantities they need and send it. The order arrives in your Incoming tab.

You open it, adjust the quantity you can fulfill for each item and approve it. Lower a quantity to approve part of an order, or decline it. SpotsPOS warns you when an item does not have enough stock to fulfill the order. Once approved, the requesting shop can receive the items, and each item is logged as dispatched on your side and received on theirs.

Shared inventory or a transfer?

Use an inventory transfer to move stock between stores you own: one shop requests it, the other approves, and the items move from one store's count to the other's (multi-store). Use shared inventory when another business, or one of your locations acting as a supplier, orders from you on a purchase order. Our guide on moving parts between repair locations covers both.

How to share your inventory with another shop

  1. Get their store ID

Ask the other shop for the store ID of the location that will order from you.

  2. Add the store

Open Share Inventory, tap Add Store and enter the store ID. Your invite shows Awaiting approval.

  3. They accept

The other shop accepts your invite on its Requests tab, and the share becomes Active.

  4. Approve their orders

Their purchase orders arrive in your Incoming tab. Approve, partially approve or decline each one.

Nothing leaves your shelf until you approve it.

Every order from a partner shop waits in your Incoming tab. Adjust the quantity you can fulfill for each item, and SpotsPOS tells you when stock is short.

  • Approve in full, in part or not at all
  • Revoke a shop's access with a swipe
  • Items logged as dispatched and received

Shared inventory questions

Can another repair shop order parts from my inventory?

Yes, if both shops use SpotsPOS. Share your inventory with their store ID. Once they accept, they can pick your shop as a vendor on a purchase order, and you approve, partially approve or decline each order.

Where do I find a shop's store ID?

Each SpotsPOS location has its own store ID. Ask the other shop for the ID of the location that will order from you.

Can I stop sharing with a shop?

Yes. Revoke its access from the row's menu or with a swipe. The shop can no longer order from your inventory, and you can invite it again later.

What is the difference between shared inventory and an inventory transfer?

A transfer moves stock between stores in your own account after the sending store approves it. Shared inventory lets another shop order from you on a purchase order, which you approve. See multi-store for transfers.

Which plan includes shared inventory?

Ordering from other shops through the vendor network is part of the Pro plan. See pricing for what each plan includes.
