An appointment book made for a repair counter

Most scheduling tools stop at the calendar. Repair shop appointment scheduling has to know the customer, the device and what is wrong with it, because the appointment turns into a job.

  • Book in seconds

Link the customer, enter the device and what the appointment is for, then pick a type, an estimated duration and a time. Mark it all day if it is a drop-off with no set time.

  • Confirm what is pending

Appointments waiting to be confirmed sit in their own Pending tab. Confirm them with one tap so the customer knows the time is theirs.

  • Schedule, upcoming and past

Move week by week through the schedule, jump back to today, or switch to a simple list of what is coming up and what already happened.

  • Reminders that cut no-shows

Send a reminder with the date and how to reach you if plans change. The customer arrives on time, or lets you know they cannot.

  • From appointment to repair

Check the customer in and create the repair from the appointment. The two stay linked, so you can open the repair from the appointment later.

  • Google Calendar sync

With the Google Calendar integration on, every new appointment also becomes an event on your Google Calendar.

How repair shop appointment scheduling works in SpotsPOS

  1. Book the appointment

Tap Appointment from the Home screen's quick actions or Book an appointment from your schedule. Customer, device, subject, type and duration are required, so every booking has what your technician needs. Add photos if the customer sent any.

  2. Confirm and remind

New appointments that need a yes appear under Pending and in the Up next card on Home with a to confirm count. Confirm it, then send a reminder before the day.

  3. Check the customer in

When they arrive, open the appointment and tap Check In Customer. Then tap Create Repair From Appointment and finish the ticket while they are at the counter.

  4. Reschedule or close it out

If plans change, reschedule it to a new date. Update the status, add notes for your team, and the appointment's history keeps its status changes and notes.

Spot a double booking before it happens.

On a busy Saturday it is easy to book two repairs into the same half hour. SpotsPOS marks an appointment that overlaps another, so you see the clash on the schedule and can move one of them while the customer is still on the phone.

  • Online badge for appointments booked online, In store for the rest
  • Repair badge when an appointment is already linked to a ticket
  • Search by customer name and filter by date range or status

Why a repair shop should take appointments

Walk-ins will always be part of a repair shop. But a counter that runs only on walk-ins has quiet mornings and an hour-long line at lunch. Appointments spread the work out. You know a screen job is coming at 11:00, you can check the part is on the shelf, and the customer spends five minutes at the counter instead of thirty.

They also let you take on bigger jobs with confidence. A board-level repair or a data recovery that needs a few hours can be booked into a quiet slot, with an estimated duration, instead of squeezed between quick fixes.

Built around the repair, not just the time slot

Generic calendar apps know a name and a time. In SpotsPOS Repair, an appointment carries the customer record, the device and the subject of the visit, so the person who checks the customer in already knows what they are fixing. When you create the repair from the appointment, the two stay linked, and the rest of the job follows the normal repair tracking flow: statuses, parts, signatures and warranty.

What your week looks like

Monday morning. Open the Schedule tab and look at the week. Three appointments are marked Pending. You confirm two and call the third to suggest a different time, then reschedule it.

Day before. You send reminders to tomorrow's customers. One replies that they cannot make it, so the slot opens up for a walk-in.

Appointment day. The customer arrives, you check them in and create the repair. The appointment shows a Repair badge, and from that point the device is tracked on the ticket and, on iPad, on the Repair Board.

Pickup. When the repair is done, customer notifications tell the customer it is ready, from the same app.

Who uses appointments in SpotsPOS

Phone and tablet shops can use them for screen and battery jobs that need a part ordered first. Computer and console repair shops can book longer diagnostics. Shops with a small team can use them to keep the counter covered while a technician is on the bench.
